V · Common Questions

Asked by directors.

Quick answers on PO billing, lead times, mid-season add-ons. Anything else, the programme specialist is the fastest route.
Do you accept school district POs?+
Yes. Schools, conservatoires, military bands, and registered nonprofits can purchase against an institutional purchase order. We invoice net against the PO once the order ships. Send the PO and tax-exempt form (if applicable) when you request the quote.
Are you set up as a vendor in our procurement system?+
If your district uses a vendor-portal system (TIPS, Sourcewell, OMNIA, or a state-specific co-op), tell us in your quote request. We can complete vendor registration in most major US procurement systems if we're not already on file.
How fast does a quote come back?+
A specialist replies within one business day with next steps, the rate sheet structure, and a draft PO-ready quote where the inputs are clear. Complex multi-section quotes typically finalise within 3–5 business days, depending on workshop confirmation.
What if a school year starts and we need a mid-season add-on?+
Mid-season add-ons are quoted at the same programme rate the original PO was placed at, on the same season, no re-negotiation. Your programme specialist holds the file open through the school year.
Do you handle repairs on instruments we already own?+
Warranty service for instruments we sold routes through us back to the maker — you don't ship to Salzburg or Brussels yourself. For routine adjustment or out-of-warranty repair, we maintain a network of approved technicians and can route to the closest one. Email info@themusiciansclub.net with the serial number.
Can a director try a model before the section orders?+
For programme-scale orders, yes — we can typically arrange a single demonstrator unit to your rehearsal room ahead of the full section purchase. Demo terms (loan window, return shipping, security deposit) are agreed in writing as part of the quote.
Can we order parts & sheet music on the same PO?+
Yes. Sheet music, parts, and scores from Bärenreiter, Henle, Breitkopf, Carl Fischer, and our other publishers can be specified alongside the hardware order, ship-matched to the rehearsal cycle. Pull-list spreadsheets are welcome.
