How Buying Works at The Musicians Club
A serious instrument is a multi-thousand-dollar decision and often crosses a border. Here is the actual end-to-end process — written without marketing fluff so you know exactly what to expect.
Three buying paths
There are three different routes through The Musicians Club depending on what you need. Pick the one that fits.
Browse and buy directly
For accessories, mouthpieces, sheet music, and instruments you have already chosen. Browse the catalogue, add to cart, check out. Standard Shopify flow with our shipping rules and 30-day return window applied. Best for items below $5,000 where you already know what you want.
Find My Instrument — specialist matchmaking
For buyers who don’t want to scroll through 35,000 items. Fill out the Find My Instrument form (level, budget, country, timeline, use), and a specialist replies within one business day with two or three shortlisted options. No deposit, no commitment. Best for serious purchases up to $10,000.
Concierge file — private acquisition
For acquisitions above $10,000, rare instruments, custom builds, or institutional orders. Open a Concierge file and one specialist owns your project end-to-end: maker liaison, condition report, shipping, customs handling, white-glove delivery. NDA available. Best for professional acquisitions, audition instruments, and orchestra section refits.
What happens between “buy” and “played”
Order placed & payment captured
Card or bank transfer for institutional orders. We never store card details — payment is processed directly through Shopify Payments / Shop Pay / Apple Pay / Google Pay.
Order routing
Each order is routed to either our warehouse, the maker’s workshop, or one of our 150+ partner ateliers depending on what you bought. The product page shows “ships from” if known.
Inspection (high-value items)
For instruments above $5,000 we inspect before shipping — condition photos, serial-number registry, tonal characteristics. You receive these within 48 hours of order placement. If anything is off, we delay shipping and consult before proceeding.
Insured shipping
DHL Express, FedEx, or UPS for instruments. White-glove specialty freight (climate-controlled, two-person delivery) for grand pianos and large strings. Full insurance for the purchase price — not a flat-rate carrier liability.
Customs & duties
For international orders, customs and duties are handled per the rules at Customs & Duties. Short version: we provide complete documentation, you pay any import VAT/GST/duty to the carrier on delivery. We never under-declare value.
Delivery & setup
You sign for the package. For high-value instruments we recommend video-recording the unboxing — this is your insurance baseline if anything is wrong. If you ordered through Concierge, we follow up within 48 hours to confirm everything arrived as expected.
30-day return window
Most items can be returned within 30 days of delivery. Read the policy. For custom-order, made-to-measure, and special-order instruments returns are restricted — we’ll flag this clearly before you commit.
What we don’t do
- We do not finance instruments. There is no in-house payment plan and we will not refer you to predatory financiers. Customers above $5,000 sometimes use Shop Pay Installments (an Affirm product, not ours) at checkout if eligible.
- We do not under-declare value on international shipments. Customs honesty protects your insurance claim if anything goes wrong in transit.
- We do not stock anything we have not personally vetted. Our 150+ ateliers are real workshops with real proprietors we have met or correspond with directly.
- We do not auction instruments below catalogue price. If something seems mispriced it’s either an error (we’ll honour it within reason) or an open consignment (clearly marked).
